Administrative Assistant

Duties & Responsibilities

· Provide general administrative support to project management team as needed

· Manage bid date calendar

· Order client samples and submittal samples as needed to meet expectations or deadlines of submittals.

· Administer project contract review, compliance, execution, distribution, and archiving

· Request and distribute product pricing as needed to meet team deadlines and bid deadlines. Vendor & Supplier communication

· Attend bid collaboration meetings weekly with Operations Team

· Track project submittal process, deadlines, and approval prior to the order deadline

· Enter project & customer info into software as needed

· Work with Project Managers to complete and submit AIA billing on time, & general Invoicing

· Figure up extra tickets, create change order requests, and track the status of change orders approval for system entry and costing

· Create closeout packages, maintenance instructions, and warranty letters for project turnover

· Learn and operate large format printer to produce accurate drawings and other renderings as needed for the Marketing and PM dept

· Assist in E-commerce accuracy and knowledge

· Track PM credit card use and expenses

· Assist with ordering materials and ensuring the accuracy of delivered items

Client Management

· Enter contract projects into software

· Fill out the project profile

· Attach bids and other documents as needed throughout the project duration

· Create and maintain workflow actions and assign tasks to other team members

· Facilitate calendar and mail through software for all office staff, integrated with outlook if possible.

· In conjunction with the accounting department establish, maintain, and communicate baseline financial progress on a weekly basis for PM review

· Track and maintain Sales lead database in the software

· Prepare all projects for archive. Ensure all documents are attached and complete.

Qualifications

· Construction office experience preferred

· Proficient with Microsoft Word and Excel

· RFMS experience is a plus

Job description

Neverman Floor Artisans is a rapidly expanding commercial flooring firm located in Central Illinois. We are searching for energetic and positive people to join our team. As one of our project managers you will interact with Architects, Designers, Contractors, and end users in addition to our team.

Responsibilities:

· Interpret construction documents and perform material take offs

· Compile material costs and estimate

· Create and send project proposals

· Initiative to follow up with clients and close the sale

· Create and maintain customer relationships

· Create and maintain job files

· Perform project management duties from start to finish

· Monitor job progress and profits

· Meet and exceed sales goals

Warehouse/Delivery Driver

Job Description

We are looking for a responsible Delivery Driver to distribute products promptly to our customers. You will represent our company in a professional and cost-effective manner to increase our profitability and customer satisfaction. Class B CDL preferred but anyone with a valid driver’s license encouraged to apply. Advancement opportunities available to all who excel.

Responsibilities

· Pull orders and load trucks in an efficient and safe manner

Accounting Manager

We are seeking an energetic individual with a positive attitude to run our Accounting Department. We specialize in commercial construction and someone with similar office experience is preferred.

Position details include but are not limited to the following:

Responsibilities

  • We are seeking a trusted advisor to support our operations and work directly with the corporate owner
  • Process all data entry of general ledger, cash management, account reconciliation, processing of accounts receivable and payable, and produce various financial reports for the Management.
  • Prepare financial reports for the company’s CPA firm to file tax returns at year-end.
  • Prepare management financial reports such as job costing, quarterly project budgets, and other reports required by management, etc.
  • Conduct monthly reconciliations (credit cards) and reviews to ensure the accuracy and integrity of all financial data.
  • Comprehend and execute Unionized weekly payroll and monthly Union benefit reports
  • Process and manage weekly payroll reports and tax payments
  • Analyze financial data.
  • Summarize and prepare semi-monthly forecasts of the company’s financial position
  • Manage and enhance the Finance and Accounting infrastructure along with developing/enhancing internal controls and procedures.
  • Assist with internal and external client relations
  • Update construction budgets using current information and hold manager/job project managers accountable for their budgets. Track and manage changes in construction contracts with vendors and
    clients and identify budget variances for each job.
  • Update the policies and procedures and any training manuals for the accounting and finance area.
  • Manage company commercial vehicles and property
  • Interact with company legal, banking, and other outside counsel
  • Coordinate insurance procurement for group health, workers compensation, and general liability corporate policies
  • Manage insurance policies, including annual audits
  • Administer and manage company 401(k) plan
  • Manage Human Resource and employee benefits issues, assisting with hiring/training/evaluating new employees
  • Coordinate IT support with outside IT consultant as needed
  • Provide other necessary support to the team to ensure the company meets its goals. As a fast-paced, dynamic company, our team members can expect to wear many hats and go beyond their traditional

Qualifications

  • 3+ years experience in a corporate accounting/finance management position. Construction Industry preferred
